Receptionist Role
We are currently recruiting for a new person to join our reception team. The hours we are looking to fill from 21st November 2025 are:
– Fridays 8.15am- 6.15pm
– Additional hours for holiday & sickness cover
There is also scope to increase these hours in the future.
We pride ourselves on having a friendly and approachable reception team who support both our patients and our team of practitioners. We offer a range of services from Physiotherapy, Osteopathy and Massage Therapies to Acupuncture, Hypnotherapy and Nutritional Support.
You will be responsible for the day-to-day running of the clinic reception. The responsibilities will include:
- Meeting and greeting patients arriving in clinic
- Booking of appointments via telephone, email and in-person
- Answering queries regarding treatments, providing information on our services, and ensuring patients are booked for the most appropriate treatment (training will be given)
- Maintenance and general upkeep/tidying in the clinic
- Replenishing treatment room stock and placing orders
- Triaging insurance claims and adding patients to waiting lists where necessary
- Supporting practitioners with patient reports and letters
- Other admin duties including scanning patient records/ updating spreadsheets
General admin duties
We use a clinic booking software to ensure the smooth running of the day-to-day bookings and patient records, training on this will be provided. It is, however, essential that you are proficient in general computer and software use, including basic knowledge of spreadsheets. English speaking is essential, other languages are a bonus. You should have good typing skills and excellent grammar for letter writing and proofing.
Qualities we are looking for in a receptionist:
Great communication skills
– polite, efficient, and timely response to emails, phone calls and messages. Strong ability to communicate with the team and our patients. Skills to build team relationships, organise team events and promote a positive working environment.
Empathy
– ability to show understanding and care for our patients, who may be in pain or distress, and ensure that they feel supported.
Friendliness
– greeting our patients with a smile and a conversation whilst they wait for their appointment. We have a wonderful mix of patients from all walks of life, and it is a great opportunity to meet and talk with some really interesting and lovely people.
Firmness
– a good judgement is required and the ability to politely ensure that our clinic policies are upheld.
Attention to detail
– a smart appearance – You are our patients’ first point of contact and that first impression does count. Punctuality and commitment to maintaining a stable clinic environment.
